YOUR INFORMATION MATTERS

Privacy Policy

This policy explains what information Mel's Moments Vacations collects, why we use it, and the choices you have.

Last updated: October 10, 2026

1. Who we are

This Privacy Policy applies to Jamiel Hughes, a Texas sole proprietor doing business as Mel's Moments Vacations (“Mel's Moments,” “we,” “us,” or “our”), including this website, travel inquiries, TravelJoy communications, and travel-planning services.

Travel suppliers and service providers have their own privacy practices. Their policies apply when they collect or process information for their services.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Contact information: name, email address, phone number, mailing address, and preferred contact method.
  • Trip and traveler information: destination interests, dates, budget, departure city, traveler names, dates of birth, citizenship, loyalty numbers, room preferences, and travel-companion details.
  • Identification and documentation: passport or government-identification details when needed for a reservation.
  • Special-request information: accessibility needs, dietary requests, medical equipment, emergency contacts, or other information you choose to provide for travel arrangements.
  • Transaction information: invoices, payment status, authorization records, deposits, refunds, and supplier booking details. Payment-card information is processed by TravelJoy, payment processors, or travel suppliers; we do not intentionally store complete card numbers on this website.
  • Communications: emails, texts, form responses, call notes, feedback, and records of requests or approvals.
  • Website information: IP address, browser and device type, referring page, pages viewed, and basic security or performance data that may be collected by our website host and embedded service providers.

3. How we collect information

We collect information directly from you when you submit an inquiry, complete a TravelJoy form, request a quote, approve a proposal, make a payment, sign an agreement, join a trip, contact us, or subscribe to communications.

We may also receive information from people traveling with you, travel suppliers, payment processors, TravelJoy, or referral partners when needed to complete a request or service a reservation.

4. How we use information

We use personal information to:

  • respond to inquiries and prepare personalized travel options;
  • make, confirm, modify, and support travel reservations;
  • process authorized payments and maintain transaction records;
  • communicate deadlines, itinerary updates, forms, and trip information;
  • coordinate requested accommodations and emergency information;
  • provide customer service and resolve concerns;
  • operate, secure, troubleshoot, and improve our website and services;
  • send marketing communications when you have requested or permitted them;
  • maintain business, tax, fraud-prevention, and legal records; and
  • comply with applicable law, legal process, and supplier requirements.

5. How we share information

We may share information only as reasonably necessary with:

  • Travel suppliers, including airlines, cruise lines, hotels, resorts, tour operators, transportation providers, excursion companies, and insurers;
  • Travel and business platforms, including TravelJoy, payment processors, email or communication providers, and website-hosting or technical-service providers;
  • People included in your reservation, such as an authorized lead traveler, roommate, or group organizer;
  • Professional advisors, such as accountants, insurers, attorneys, or fraud-prevention providers when necessary; and
  • Government or legal authorities when required by law, legal process, safety needs, or to protect rights and prevent fraud.

We do not sell personal information for money, and we do not currently use personal information for targeted advertising across unrelated websites.

6. Sensitive information

Certain travel information—such as passport details, accessibility needs, health-related accommodation requests, or precise identification data—may be considered sensitive. We request this information only when reasonably necessary for your trip or when you choose to provide it. By providing it for a travel request, you authorize us to use and share it with the providers needed to arrange or support that travel.

Please do not send complete payment-card numbers, Social Security numbers, or unnecessary medical records by ordinary email or text.

7. TravelJoy, payments, and embedded services

Our website includes an embedded TravelJoy form so you can submit a travel request without leaving the site. Information entered in that form is transmitted to and processed by TravelJoy under its own privacy and security practices.

Payments may be processed by TravelJoy, a payment processor, or a travel supplier. We encourage you to review the privacy policy of any service that directly collects payment or identification information.

8. Cookies and similar technology

Our website host and embedded services may use cookies, local storage, pixels, or similar technologies for security, basic functionality, performance, and remembering preferences. We do not currently operate our own cross-site targeted-advertising program.

We use Google Analytics to understand website visits, traffic sources, page activity, and clicks on travel-request and trip-booking links. Google Analytics may use cookies and process device and browser information. We do not send form answers, names, email addresses, phone numbers, or payment details to Google Analytics. Advertising personalization and Google signals are disabled in our website tracking configuration.

You can adjust browser settings to limit cookies, but some embedded forms or website features may not work properly.

9. Marketing choices

We may send trip news, travel tips, offers, or upcoming group-trip information when you subscribe, request updates, or otherwise permit us to contact you. You may unsubscribe using the link in a marketing email or by contacting us. Transactional messages about an active inquiry or reservation may still be sent when necessary to provide the service.

10. Retention

We retain information only as long as reasonably necessary for travel services, customer support, business and tax records, dispute resolution, fraud prevention, legal compliance, and enforcement of agreements. Retention periods vary based on the type of information, supplier requirements, and the status of your relationship with us.

When information is no longer needed, we take reasonable steps to delete, anonymize, or securely dispose of it.

11. Security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we handle. No website, transmission method, or electronic-storage system can be guaranteed completely secure. You are responsible for using secure devices, protecting account credentials, and promptly reporting suspicious communications.

12. Your privacy choices and requests

You may contact us to request access to, correction of, or deletion of personal information we maintain about you, or to withdraw marketing consent. We may need to verify your identity and may retain information when required for an active reservation, legal obligation, security need, or other permitted purpose.

Texas residents may have additional rights under applicable Texas privacy law, including rights to confirm processing, access, correct, delete, or obtain a copy of certain personal data and, where applicable, opt out of sale, targeted advertising, or certain profiling. Because we do not sell personal data or currently use it for targeted advertising, those opt-outs may not apply to our present practices.

Submit a request by emailing hello@melsmomentsvacations.com with “Privacy Request” in the subject line. We will respond within the time required by applicable law. If a request is denied, you may reply to appeal the decision.

13. Children

This website is not directed to children under 13, and we do not knowingly collect their personal information directly through the website. A parent or legal guardian may provide a minor traveler's information when arranging family travel. If you believe a child provided information without appropriate permission, contact us so we can review and address it.

14. International processing

Travel often requires information to be sent to suppliers in other states or countries. Privacy protections and government-access rules may differ outside your home jurisdiction. By requesting international travel services, you understand that necessary information may be processed in the destinations and jurisdictions involved in your reservation.

15. Third-party links

Our site may link to supplier, insurer, social-media, payment, or other third-party websites. We do not control their privacy or security practices. Review their policies before submitting personal information.

16. Changes to this policy

We may update this policy as our services, technology, or legal obligations change. The updated date at the top will show when revisions were made. Material changes may also be communicated through the website or the contact information you provided when appropriate.
