PLEASE READ BEFORE BOOKING

Terms & Conditions

These terms explain the responsibilities of Mel's Moments Vacations and each traveler when planning, reserving, and participating in travel.

Last updated: October 8, 2026

1. About these terms

These Terms & Conditions govern services provided by Jamiel Hughes, a Texas sole proprietor doing business as Mel's Moments Vacations (“Mel's Moments,” “we,” “us,” or “our”). By requesting services, approving a proposal, signing an agreement, authorizing payment, or making a payment, you acknowledge that you have reviewed and accepted these terms, along with the terms shown in your proposal, invoice, booking page, and supplier documents.

If trip-specific terms conflict with these general terms, the trip-specific terms control for that reservation. Supplier terms also apply to the services supplied by that provider.

2. Reservations and traveler information

Travelers must provide complete and accurate legal names, dates of birth, contact information, citizenship, and other requested details. Names must match the identification or passport used for travel. You are responsible for reviewing all confirmations immediately and reporting errors promptly.

Reservations are not confirmed until the applicable supplier accepts the booking and all required deposits or payments have been received. Availability and pricing may change until confirmation is issued. Name corrections, name changes, or passenger substitutions may be prohibited or may result in supplier fees, fare differences, cancellation, and rebooking.

3. Prices, deposits, and payments

Prices, inclusions, exclusions, deposits, payment schedules, and final-payment dates are stated in the applicable proposal, booking page, or invoice. Unless expressly stated otherwise, quoted prices may change before confirmation because of supplier availability, taxes, fees, currency changes, or corrected errors.

Deposits and planning or service fees are subject to the refund and transfer rules disclosed before payment. A deposit does not secure a reservation until payment is successfully processed and the supplier confirms the booking.

Payments are processed through TravelJoy or the applicable supplier. Automatic payments will be scheduled only when you authorize them. You are responsible for keeping payment information current and ensuring payments are made by each deadline. A declined or missed payment may result in cancellation, loss of space, supplier penalties, or a price increase. Late or reinstatement fees apply only when disclosed in writing for the specific trip.

4. Cancellations, changes, and refunds

All cancellation and change requests must be submitted in writing to hello@melsmomentsvacations.com. A request is not complete until we acknowledge it and any required supplier process has been completed.

Refunds, credits, transfers, and cancellation penalties are governed by the terms disclosed for the specific trip and by each supplier's rules. Some deposits, fares, fees, group rates, and promotional bookings may be nonrefundable and nontransferable. Mel's Moments cannot issue a refund that has not been authorized or returned by the supplier. Planning and service fees already earned are nonrefundable unless expressly stated otherwise.

No refund is provided for unused services, missed departures, voluntary changes, early departures, or a traveler's failure to meet identification, entry, health, or timing requirements. Any approved refund may take the supplier's stated processing time.

5. Chargebacks and payment disputes

If you believe a charge is incorrect, contact us promptly so we can review the reservation and supplier records. Nothing in these terms limits rights provided by applicable law. Filing a payment dispute does not cancel a reservation or replace the written cancellation process. A supplier may cancel services when payment is reversed, withheld, or remains unpaid.

6. Identification, passports, visas, and entry requirements

Each traveler is solely responsible for obtaining and carrying the correct identification, passport, visa, consent letter, vaccination record, or other documentation required by governments and suppliers. Entry requirements may vary by citizenship, residency, destination, itinerary, age, and travel history and may change without notice.

Information we provide is general guidance, not a guarantee of entry. Travelers should verify current requirements directly with the appropriate government authorities and suppliers. Denied boarding or entry, fines, delays, and additional expenses resulting from missing or incorrect documents are the traveler's responsibility.

7. Travel insurance

Travel insurance is strongly recommended. Coverage may be available for certain cancellations, interruptions, medical emergencies, evacuation, baggage loss, delays, or other covered events, subject to the policy's terms and exclusions. Mel's Moments does not determine coverage or decide claims.

You are responsible for reviewing and purchasing any policy by its applicable deadline. If you decline coverage, you accept the risk of losses that would otherwise have been eligible for insurance.

8. Independent travel suppliers

Mel's Moments acts as an advisor and booking intermediary. Airlines, cruise lines, hotels, resorts, tour operators, transportation companies, excursion providers, insurers, and other suppliers are independent businesses that control and provide their own services.

We do not own, manage, or control those suppliers and are not responsible for their acts, omissions, financial condition, staffing, schedule changes, overbooking, service quality, equipment, safety procedures, or failure to perform. Each supplier's contract and conditions of carriage apply directly to the traveler.

9. Itinerary and supplier changes

Schedules, ships, aircraft, hotels, ports, activities, and itineraries may change because of weather, safety concerns, supplier operations, government action, or other circumstances. We may make reasonable substitutions or communicate options offered by the supplier, but cannot guarantee any specific itinerary, room, seat, port, activity, or amenity.

Additional costs caused by delays, cancellations, missed connections, or itinerary changes are the traveler's responsibility unless a supplier or insurer agrees otherwise.

10. Health, accessibility, and special requests

Travelers are responsible for determining whether a trip is appropriate for their health, mobility, and personal circumstances. Tell us about accessibility needs, dietary requests, medical equipment, pregnancy, or other material requirements before booking so we can request information from suppliers. Requests are not guaranteed and suppliers may have limitations, particularly outside the United States.

Mel's Moments and group hosts do not provide personal care, medical assistance, mobility assistance, or supervision. Travelers requiring personal assistance must arrange for a qualified companion or service provider at their own expense.

11. Minors

Minors must travel with an authorized adult and meet all supplier and destination age requirements. The accompanying adult is responsible for the minor's supervision, safety, conduct, documentation, and expenses. When a minor travels without both legal parents or guardians, additional consent documents may be required.

12. Group conduct

Travelers on hosted group trips must behave respectfully and follow reasonable safety instructions and supplier rules. Harassment, threats, violence, illegal activity, repeated disruption, or conduct that endangers or materially interferes with others may result in removal from group activities or the trip, subject to supplier authority.

A removed traveler is responsible for alternate arrangements, transportation, accommodation, penalties, and other resulting expenses. Unused services are not refundable unless required by applicable law or approved by the supplier.

13. Force majeure

Mel's Moments is not responsible for delay, cancellation, loss, or failure to perform caused by events beyond our reasonable control, including severe weather, natural disasters, fire, disease outbreaks, government actions, border closures, war, civil unrest, terrorism, labor disruptions, supplier insolvency, transportation failures, or similar events.

When such an event occurs, available refunds, credits, substitutions, or rebooking options will be determined by the applicable suppliers, travel insurance policy, trip-specific terms, and law.

14. Assumption of travel risks

Travel involves inherent risks, including illness, injury, crime, transportation incidents, unfamiliar environments, recreational activities, weather, and limited access to medical care. By traveling, you voluntarily accept the ordinary and reasonably foreseeable risks associated with your itinerary and chosen activities.

You remain responsible for your personal decisions, belongings, conduct, and compliance with applicable laws and supplier instructions.

15. Photos and video on hosted trips

Photos or video may be captured during hosted Mel's Moments group activities and may be used to share trip memories or promote future travel experiences. If you do not want identifiable images of yourself used by Mel's Moments, notify us in writing before departure. We will make reasonable efforts to honor the request, but cannot control images independently captured or shared by other travelers, venues, or suppliers.

16. Electronic communications and acceptance

You consent to receiving proposals, invoices, forms, confirmations, reminders, and other trip communications electronically through TravelJoy, email, text, or the contact information you provide. You are responsible for monitoring those communications and keeping your information current.

Electronic signatures, checkboxes, approvals, and payment authorizations are intended to have the same effect as handwritten acceptance to the extent permitted by law.

17. Website information and outside links

We work to keep this website accurate, but travel information, pricing, availability, and supplier details can change. Website content is provided for general information and does not replace the final proposal, invoice, confirmation, supplier terms, or government requirements.

Links to outside websites are provided for convenience. Mel's Moments does not control and is not responsible for third-party websites, content, privacy practices, or services.

18. Limitation of responsibility

To the fullest extent permitted by law, Mel's Moments is responsible only for the direct travel-advisory and booking services we perform. We are not liable for indirect, incidental, special, punitive, or consequential losses arising from supplier services, traveler conduct, or events beyond our reasonable control.

Nothing in these terms excludes responsibility that cannot legally be excluded or limits any non-waivable consumer right.

19. Governing law and disputes

These terms are governed by the laws of the State of Texas, without regard to conflict-of-law principles. Before filing a formal claim, the parties agree to make a good-faith effort to resolve the issue directly. Unless applicable law requires otherwise, any legal proceeding arising from these terms or Mel's Moments services will be brought in a court of competent jurisdiction in Dallas County, Texas.

20. Updates, severability, and entire agreement

We may update these website terms for future bookings. The version accepted for an existing reservation remains part of that reservation unless both parties agree otherwise or a change is required by law or a supplier.

If any provision is found unenforceable, the remaining provisions remain effective. These terms, together with your trip-specific proposal, invoice, booking page, signed forms, and incorporated supplier terms, form the agreement between you and Mel's Moments for the applicable services.
